Payroll Specialist - San Diego, CA (Full-Time)

Position Description

The Payroll Specialist plans, organizes and controls all key aspects of the payroll function, including but not limited to preparation and timely submission of the bi-weekly payroll, maintenance of the Payroll database through ADP, oversight of benefit related invoice reconciliation, meet compliance standards for multi-state regulations, tracking of FMLA and other disability type claims status.  The position duties will also require collaboration with the accounting department to ensure accurate financial reporting and provide administrative support to human resources including but not limited to record keeping, file maintenance, annual reports and other payroll related assignments as requested. 


Essential Duties and Responsibilities

  • Prepare and process timely submission of bi-weekly payroll according to prescribed guidelines and regulations.
  • Process Performs the Payroll / HR Administration Process in ADP
  • Set up voluntary deductions in ADP as well as process involuntary deductions  such as levies and wage garnishments with correct calculations in line with compliance standards.
  • Prepares regular reporting of overtime, PTO, and wage reports for internal reporting and external inquiries to multi-state staff.
  • Creates reports using Excel and the ADP reporting system
  • Coordinates with Accounting Department in reconciliation of Timekeeping system, Quickbooks and ADP HRB
  • Posses correct understanding of proper taxation of employer paid benefits
  • Process and reconcile bi-weekly submission of Cafeteria Plan and 401(k) deferrals and contributions to appropriate vendor administrators. 
  • Perform monthly account reconciliation for related benefit invoicing and ensure timely payments are disbursed from Accounting department
  • Provide timely updates and calculations of PTO Balance reports.
  • Maintain compliance standards with all statutory payroll legislation
  • Ensures the quality/accuracy of the HR data for payroll module.
  • Prepare and process termination calculations and final paycheck reports
  • May issue and record adjustments of annual, semi-annual pay related increases, previous errors or retroactive increases or bonus compensation
  • Complete year-end reporting of W-2's 
  • Comply with federal, state, and local requirements and assist with data collection and reporting
  • Respond to internal and/or external inquiries and provide resolution for payroll related issues and concerns.
  • Provide administrative support to HR in data collection for benefit related payroll activity.
  • Provide clerical support in preparation, distribution and collection of new hire documents

Knowledge, Skills, and Abilities Required

  • Must have a strong background in MS Office, with strong demonstrated experience in Excel
  • Understanding of paying bonuses, severance, PTO Cashout and any additional pay anomalies
  • Ability to maintain confidential information
  • Knowledge of general payroll practices, laws, and procedures a must
  • Understanding of multi-state payroll legislation a plus
  • Must possess outstanding communication, customer service, and organizational skills
  • Excellent analytical skills with a strong attention to detail, accuracy and methodical problem solving
  • Ability to adjust priorities on short notice, manage interruptions and work well under pressure
  • Ability to work independently as well as in a team environment

Education and Experience Required

  • High School Diploma or GED
  • Bachelor's Degree in Business, Accounting , Finance or related field a plus
  • Minimum of 3-5 years working with payroll related duties for a company of 100+ employees 
  • Proficiency with ADP Pay Expert platform
  • Proficiency with ADP Workforce Now versions 2 through 9
  • Experience with system conversions to ADP Workforce Now Version 11, preferred
  • Experience with Quickbooks Pro and GHG Timekeeping software a plus
  • Strong verbal and written communication skills required

Sourcing Specialist/Buyer - San Diego, CA (Full-Time)

ES3 has an immediate opening in their corporate office location for a Sourcing Specialist/Buyer.


Essential Duties and Responsibilities

  • Assists in comparing prices, specifications, and delivery dates in order to determine the best bid among potential suppliers
  • Be able to assist in supplier qualification and fulfillment
  • Researches, acquires, and develops relationships with suppliers on specific projects
  • Ability to conduct market research on alternative engineering products and procurement sources
  • Help senior staff members plan and execute sourcing strategies for specific projects
  • Collaborate across varies parts of the organization (Engineering, Quality, Management, ect.)
  • Help assess and mitigate supply chain risk
  • Prepare RFQ and assist in the procurement/subcontracting of large projects
  • Help source thousands of NSNs
  • Ability to handle multiple projects at once
  • Draft Purchase Requests, Purchase Orders, Change Orders
  • Send purchase order copies to suppliers and to departments originating requests
  • Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems

Education & Experience Required

  • Familiarity with basic commercial acquisition terms and conditions
  • Bachelor’s degree in Supply Chain Management or equivalent related experience
  • 5 years experience in a procurement/purchasing capacity
  • Knowledge of Excel data entry and formulas

  • Send purchase order copies to suppliers and to departments originating requests

Senior Financial Analyst - San Diego, CA (Full-Time)

ES3 has an immediate opening in their corporate office location for a Senior Financial Analyst.


General Summary

The Senior Financial Analyst is responsible for ensuring policy and procedurecompliance, audit readiness, oversight of corporate revenue reporting activities and critical and confidential aspects of company finance. This is a senior level accounting  position that will participate in a wide variety of special and assigned projects requiring communication with colleagues, executive management, clients and others in a professional and timely manner.


Essential Duties and Responsibilities

  • Provide back up for Controller as organizational demands dictate.  
  • Manage project control reporting activities by preparing and analyzing ETC's/EAC's and provide monthly reporting to Corporate and Senior Management. 
  • Prepare and maintain weekly cash flow forecast for Corporate Management.
  • Provide detailed support and analysis of corporate revenue forecast for Corporate Management.
  • Assist in the preparation of the Incurred Cost Proposal (ICE) for management review.
  • Assist in the preparation of monthly indirect rate calculations.
  • Assist in maintaining, enhancing and/or developing Accounting department policy and procedures.
  • Assist in monthly/year-end close activities.
  • Assist in the oversight of all primary bookkeeping as it pertains to a second corporate entity "ES3 PLG" which includes revenue recognition, progress payment calculations, AR and WAWF entries for shipped goods.
  • Assist in the preparation of monthly Accounts Receivable Excel invoices, capturing labor hours, materials, subcontracts and odc's for submission to various Government and Commercial customers.
  • Oversee payroll processing, submission, payroll journal entries and reporting activities. 
  • QuickBooks review of payroll reporting and review of related spreadsheets. 
  • Assign and maintain charge codes in GHG timecard system.
  • Maintain audit readiness through oversight of general ledger activities.
  • Provide Audit Support in response to DCAA, state sales tax and property tax entities.  
  • Support semi-annual Financial Capability audit conducted by Defense Contract Management Agency (DCMA).
  • Prepare and submit annual Government mandated Contractor Manpower Reporting Application (CMRA).
  • Complete  monthly shop allocation and labor accruals.
  • Support Accounts Payable, Purchasing and Ad Hoc reporting on an as needed basis
  • Any other accounting special or assigned projects as needed

Education and Experience

  • Bachelor's degree in Accounting, Finance or Economics, minimum of 10 years of professional experience of in Government accounting environment 
  • Strong understanding of Government Accounting concepts, i.e. allowable and unallowable costs, direct and indirect costs, overhead, G&A, fringe and M&S pools.
  • Engage in critical thinking
  • Problem Solving /Analysis and organizational skills
  • Advanced knowledge of MS Office, (Word and Excel) computer software, QuickBooks Enterprise Solutions. Intermediate knowledge of WAWF, Gov Pay, GSA Finance a plus 
  • Demonstrate high ethical standards for confidentiality, honesty, truthfulness and integrity
  • Ability to communicate with Executive Management with strong written and interpersonal skills

Position Type / Expected Hours of Work
